# Guest notice template

> Ready-to-use signage, invite copy, and a host script for telling visitors a space uses Parable

Your team consents to Parable when they onboard. Visitors — candidates,
customers, friends of the office — don't get that flow, and in many places
(including several US states, California among them) recording a
conversation requires **every** participant's consent. This page is
copy-paste material for covering that gap. Adapt freely; this is a template,
not legal advice.

## Room or door sign

Print this and put it where people entering the space will see it:

> **This space uses Parable.**
>
> Conversations here are transcribed to help our team remember what was
> said. Audio is processed automatically and deleted on a short schedule —
> what's kept is text.
>
> Only teammates who opted in are ever named in transcripts; everyone else
> appears as an anonymous speaker. Ask your host anything, including to
> pause capture or delete a conversation.

A shorter version for small signage:

> **Heads up: conversations in this space are transcribed** (Parable).
> Guests are never identified by name. Ask your host to pause or delete
> anything.

## Meeting invite line

Add one line to invites for meetings held in a Parable-equipped room:

> This meeting takes place in a space that transcribes conversations
> (Parable). Guests aren't identified by name, and you can ask us to pause
> capture or delete the conversation.

## What the host says

The spoken version, for the start of a conversation with a first-time
guest:

> "Quick heads-up — this room transcribes conversations so our team doesn't
> lose what we talk about. You won't be named in it, and if you'd rather we
> turn it off, that's one tap."

## Guest questions, answered

**What is being recorded?** Audio in the room is transcribed into text.
Depending on the workspace's settings, the audio itself may be deleted the
moment transcription completes; text is what's kept.

**Will I be identified?** No. Speakers are only named if they've opted in
by recording a voice test. Guests appear as "Speaker 2" — an anonymous
label.

**Can I be excluded?** Yes — the host can switch capture off for the
conversation, and any recorded conversation can be deleted afterwards,
which permanently removes its transcript, summary, and audio.

**Who sees the transcripts?** Members of the hosting company's workspace.
Parable's own data handling — processors, retention, deletion — is
documented on the [security page](/security).

## For admins

Pair this notice with the controls in **Settings → Privacy**: conversation
audio retention (down to delete-after-processing), transcript retention, and
voice-test recording retention. The device shows a light whenever ambient
capture is active, and capture can be toggled per device.
